How Movement Based Therapy handles your personal data. GDPR-compliant, transparent and to the point.

Movement Based Therapy protects your personal data with great care and attention. In this privacy policy we share all the information about how we handle your personal data and which personal data is involved.

Movement Based Therapy works in accordance with applicable laws and regulations, including the General Data Protection Regulation (GDPR). This means:

  • Your personal data is processed in accordance with the purpose for which it was provided. These purposes and the types of personal data are described in this Privacy policy.
  • Processing of your personal data is limited only to the data strictly necessary for the purposes for which it is processed.
  • We will always ask for your explicit consent if we need it to process your personal data.
  • We do not pass personal data on to other parties, unless this is necessary to fulfil the purposes for which it was provided. For example, we may share data with general practitioners and orthopaedic specialists after the patient's written consent.
  • We are aware of your rights regarding your personal data, will inform you of these rights and respect your choices.

Processing of personal data of patients or clients

Personal data of customers or suppliers is processed by Movement Based Therapy for the following purposes:

  • Recording patient data for the purposes of the treatment process.
  • Recording client data for the purposes of (medical) training.
  • Recording client data for the purposes of carrying out measurements.

The basis for this personal data is:

  • The treatment agreement, subscription or one-off purchase.

For the above purposes Movement Based Therapy may ask you for the following personal data:

  • (Business) phone number
  • (Business) email address
  • Gender
  • Date of birth
  • Health data
  • Insurance details
  • BSN (Dutch social security number)
  • ID or passport number

Your personal data is stored by Movement Based Therapy for the above processing for the following period:

  • For the duration of the treatment agreement. 15-year retention period in accordance with the Dutch Medical Treatment Agreement Act (WGBO).
  • For the duration of the subscription.

Processing of personal data of healthcare providers

Personal data of healthcare providers is processed by Movement Based Therapy for the following purpose:

  • Exchanging patient data for the purposes of treatment.

The basis for this personal data is:

  • Referral.

For the above purpose Movement Based Therapy may ask you for the following personal data:

  • First name
  • Surname prefix
  • Last name
  • Email address
  • Phone
  • AGB code

Your personal data is stored by Movement Based Therapy for the above processing for the following period:

  • For the duration of the patient's treatment agreement. 15-year retention period in accordance with the Dutch Medical Treatment Agreement Act (WGBO).

Processing of personal data of prospects, stakeholder/lobby contacts and/or interested parties

Personal data of prospects, stakeholder/lobby contacts and/or interested parties is processed by Movement Based Therapy for the following purpose:

  • Providing information in the form of newsletters and/or targeted contact.

The basis for this personal data is:

  • Verbal consent, exchange of a business card and/or via social media.

For the above purpose Movement Based Therapy may ask you for the following personal data:

  • First name
  • Surname prefix
  • Last name
  • Address
  • City
  • Phone number
  • Email address

Your personal data is stored by Movement Based Therapy for the above processing for the following period:

  • For the period during which you are considered a prospect, stakeholder/lobby contact and/or interested party.

Processing of personal data of employees

Personal data of employees is processed by Movement Based Therapy for the following purpose:

  • Carrying out the employment contract.

The basis for this personal data is:

  • The employment contract.

For the above purpose Movement Based Therapy may ask you for the following personal data:

  • First name
  • Surname prefix
  • Last name
  • Address
  • City
  • AGB code
  • BIG number
  • Phone number
  • Email address
  • Date of birth
  • Salary details
  • Copy of ID
  • BSN number
  • Bank details

Your personal data is stored by Movement Based Therapy for the above processing for the following period:

  • For the duration of the employment contract and afterwards only in the financial administration for a maximum of 7 years.

Sharing with third parties

The data you provide to us may be shared with third parties if this is necessary to fulfil the purposes described above. For example, we use a third party for:

  • Managing the digital patient record (EPD).
  • Managing the (financial) administration.
  • Sending newsletters and invitations.
  • Carrying out patient satisfaction surveys.
  • Processing declarations or bank transactions.

We never share personal data with other parties with whom we have not signed a processor agreement. Of course, we make the necessary arrangements with these parties (processors) to safeguard the security of your personal data. Furthermore, we will not share the data you have provided with other parties unless this is legally required and permitted. An example of this is the police requesting (personal) data from us as part of an investigation. In such a case, we are obliged to cooperate and provide this data. We may also share personal data with third parties if you give us written consent to do so.

Within the EU

We do not share personal data with parties based outside the EU.

Minors

We only process personal data of minors (persons under the age of 16) if written consent has been given by a parent, carer or legal representative.

Retention period

Movement Based Therapy does not retain personal data for longer than necessary for the purpose for which it was provided, or as required by law.

Security

We have taken appropriate technical and organisational measures to protect your personal data against unlawful processing. For example, we have taken the following measures:

  • All persons who may take note of your data on behalf of Movement Based Therapy are bound by a duty of confidentiality.
  • We apply a username and password policy on all our systems.
  • We pseudonymise and ensure encryption of personal data where appropriate.
  • We make back-ups of personal data so we can restore it in case of physical or technical incidents.
  • We regularly test and evaluate our measures.
  • Our employees are informed about the importance of personal data protection.

Your rights regarding your data

You have the right to access, rectify or erase the personal data we have received from you. You may also object to the processing of your personal data (or part of it) by us or by one of our processors. You also have the right to have the data you have provided transferred by us to you or, on your instruction, directly to another party. We may ask you to identify yourself before we can comply with such requests.

If we process your personal data on the basis of consent given by you, you always have the right to withdraw this consent.

Cookies and website

On this website we use cookies and similar technologies. We distinguish three categories:

  • Functional. Required for the site to work (language preference, display, security) and for the appointment system provided by our partner Verne Health. These are always placed and do not require consent.
  • Statistics. Anonymous visitor statistics so we can improve the site. Only placed after your consent.
  • Marketing. For measuring campaigns and ad effectiveness. Only placed after your consent.

You can change your preferences at any time via Cookie settings at the bottom of the site. The appointment widget on this website is provided by Verne Health and falls under their own privacy policy. Fonts are self-hosted and the maps on the location pages use OpenStreetMap, both without cookies or tracking.

Complaints

If you have a complaint about the processing of your personal data, we ask you to contact us directly. If we cannot resolve the matter together, we are of course sorry to hear that. You always have the right to file a complaint with the Dutch Data Protection Authority (Autoriteit Persoonsgegevens), the supervisory authority in the area of privacy protection.
